The tax engine, explained honestly

Most invoicing tools add up the lines and multiply once. That is wrong the moment a document mixes two rates, quotes a price that already includes tax, or crosses a border. Here is what actually happens.

Tax is grouped by rate, then rounded once

Lines are collected into rate groups, each group is taxed on its own subtotal, and the rounding happens once per group. Rounding each line separately drifts by a minor unit or two on a long document, and the total then fails to reconcile against the tax report.

A tax-inclusive price is extracted, not added

When you type a price that already includes tax, the net is derived back out of the gross at the group rate. It is not the gross minus a percentage — that is a different number, and the difference is exactly the amount an auditor looks for.

Reverse charge, zero-rating and export are separate states

A business customer in another EU member state with a valid number, a customer outside the tax territory, an exempt supply and a zero-rated supply are four different things. Each prints its own legal wording on the document, and the reason is printed with it.

Withholding is deducted from the payment, never from the tax

Withholding tax reduces what the client actually transfers. It does not touch the net, it does not touch the tax, and it is reported separately — so the document still reconciles even when less money arrives.

Why an invoice from here holds up

A tax document is not a PDF with a total on it. Four properties make it defensible, and all four are in the product from the first document — not in a business plan.

A hash chain across your documents

Every issued document is hashed together with the hash of the one before it. Alter a document from March and every document after it stops matching — quietly rewriting history is not possible, only visible. This is the mechanism behind Verifactu in Spain, ATCUD in Portugal and NF203 in France, and it costs nothing to do properly from day one.

Issued means issued

A document that has been issued is never updated and never deleted. It gets its number at the moment of issue, not before, so there are no gaps and no reserved numbers. A mistake is corrected the lawful way: a credit note that points at the original.

The data is yours, and leaving is free

Export your documents, clients and reports to CSV whenever you want, with no plan to upgrade and no fee at the door. Exports are escaped against spreadsheet formula injection, because a client name that starts with an equals sign should not execute on the machine of whoever opens the file.

Security and privacy, stated plainly

  • Every query is scoped to your business. There is no shared view and no cross-tenant read.
  • Passwords are stored as a modern one-way hash. Nobody here can read yours.
  • Every state change is a POST carrying a CSRF token derived from your session and a server secret.
  • No advertising trackers, no third-party analytics pixel, no data broker. The pages you are reading load nothing from anyone but this domain and a font host.
  • Your documents are never indexed. The application and every shared-document link carry noindex headers and are excluded from robots.txt and from the sitemap.

What we do not claim: DocsOrigin is not ISO 27001 certified, is not SOC 2 audited and has not been penetration-tested by a third party. When any of that becomes true it will be stated here with the date and the auditor, and not before.

01Is it really free, or free until you have my data?

Really free. The price of using DocsOrigin is zero and stays zero: no subscription, no card, no trial period, no per-document fee and no paid tier holding a feature hostage. The money comes from optional professional services that people deliver, and from nothing else. Your data is not the product and is not sold.

02How current are the tax rates?

Every country in the registry carries a confidence grade and, where we have it, the month the rate was checked against a tax source. A rate graded low is presented as a default that needs verifying — never as a fact. And your own rate always overrides ours, because you know what your country did last week before we do.

03Can I issue a legally valid invoice with this?

The document carries the fields, the sequential number, the tax breakdown and the wording your country's registry entry describes, and once issued it cannot be edited — only cancelled by a credit note. Whether that satisfies your specific obligations is a question for your accountant: this is software, not tax advice.

04What happens to my documents if I stop using it?

They are yours. Export everything to CSV whenever you like, without asking and without a paid plan. There is no export fee, because an export fee is a hostage situation.

05Do I need to install anything?

No. It runs in a browser, on a phone or a laptop, and prints to PDF through the browser's own print dialog. There is nothing to download and nothing to keep updated.
